Three roles to distinguish.

Sender

Describes the actual goods and packages. Communicates corrections and identifies the source of missing information.

Site controller

Confirms site conditions, who receives arrivals and the premises instructions visiting personnel need.

Transport provider

Assesses the requested job and confirms scope, further information, handling roles and agreed timing.

Assign an owner to the answer.

A sender may know carton count without controlling the warehouse entrance. A site coordinator may know premises rules without being able to confirm a transport booking. Direct each question to the party with the relevant information and authority.

If one person holds several roles, record those roles clearly. The purpose is to prevent work being missed because each party assumes someone else has already done it.

An agreement needs a scope.

Distinguish providing transport, arranging handling, authorising access and receiving goods. Discussing one task does not confirm every other task. Ask the provider what is included and what needs a separate arrangement.

Record: action · responsible party · conditions · confirmation method.

Confirm the handoff and next action.

Before handoff, agree the recipient, reference and method for recording what is received. If something remains unresolved, include it in the summary with the party who needs to respond.

After a change, notify the parties relying on those details. Keep a current version so decisions are not based on superseded cargo or access information.
